What’s inside

Ten tick-box habits across three points in the day

  • PurposeOne line at the top: to help educators deliver consistent, clear and warm communication each day.
  • Before the Day StartsReview shared notes or the daily briefing, clarify key messages for parents (incidents, announcements, milestones) and align language with the team for tricky situations.
  • During the DayCapture key moments (photos, learning stories, observations), note incidents or behaviour updates clearly, and share highlights with the team so messages are consistent.
  • At PickupGreet the parent warmly and make eye contact, share one positive highlight first, discuss important updates clearly and calmly, and confirm any follow-up actions such as forms or meetings.

How to use it

Four steps to put it to work this week

  1. 1
Print and post it in the roomKeep a copy where educators start their shift, or laminate one and tick it with a dry-erase marker.
  2. 2
Run the first section at the morning briefingAgree the key messages for parents and the wording for anything sensitive before children arrive.
  3. 3
Capture as the day goesPhotos, observations and incident notes are easier to record in the moment than to reconstruct at closing.
  4. 4
Use the pickup section at the doorPositive highlight first, then the important updates, then any follow-up. If you leave before pickup, pass your notes to the closing educator.

Tips from operators

What centers that use this well do differently

Learned the hard way across 3,000 child care spaces — and from the directors and educators who join our Lunch & Learns and Learning Labs.

Lead with one positive

Even on hard days, start the pick-up conversation with something the child did well. It earns the right to say the harder thing.

Go digital when you are ready

The paper checklist builds the habit; photos, observations and updates logged in a family app reach parents in real time and build the child’s record automatically.

Never deliver an incident by note alone

A written incident report is required, but the family should hear it from a person first.

Is a daily sheet required by licensing?

Requirements vary. Many regulations require daily records for infants and toddlers (feeding, sleep, diapering) and incident reports for all ages. This checklist is not that record — it is a guide to how educators communicate, so keep your required daily records separately.

How is this different from a daily journal for families?

This is the educator’s own checklist of communication habits; the journal is what the family sees. In ChildFriendly Pro, the photos, observations and updates you capture during the day go to the family feed.

What should be said in person rather than written?

Incidents, injuries, biting, a child who seemed unwell, or any concern about development. Write it too, but say it first.

Can I use it in a mixed-age or dayhome setting?

Yes — the checklist is not tied to a room or group size. A dayhome provider working alone can skip the team items and use the rest as written.
