What’s inside

Eleven checks in three sections

  • At EnrollmentFour checks: review the contract clause by clause with the family, provide the Family Handbook and highlight key sections, allow time for questions, and document that parents received both with a signed acknowledgment.
  • Annual UpdatesThree checks: review contracts and handbooks each year for accuracy, update the language for compliance changes, fee adjustments or new policies, and have families sign the updated contract and a handbook acknowledgment form.
  • Staff TrainingFour checks: train staff on the content so they answer parent questions consistently, use the policies in new staff onboarding, reinforce key policies in ongoing training or staff meetings, and make sure staff know where to find current copies.

Print one per family at enrollmentWork through the At Enrollment section during the enrollment meeting and tick each box as you go.
  2. 2
File it with the signed acknowledgmentKeep the completed checklist in the family’s file beside the signed contract and handbook acknowledgment.
  3. 3
Set an annual review datePick one month each year to run the Annual Updates section, so contracts and handbooks are revised and re-signed together.

Use the Staff Training section at onboardingGo through it with each new hire, and again at a staff meeting after any policy change.

Tips from operators

What centers that use this well do differently

Learned the hard way across 3,000 child care spaces — and from the directors and educators who join our Lunch & Learns and Learning Labs.

The checklist does not include the acknowledgment form

It tells you to collect a signed acknowledgment but does not provide one. Add a signature page to your own contract or handbook.

Tie the annual review to fee changes

If your fees change at a set time each year, review the contract and handbook in the same month so families sign once.

Keep one current copy where staff can find it

The last check is that staff know where the current policies are. A single shared folder avoids old versions being handed out.
