What’s inside

Four quick tools for supervision, attendance and daily risk

  • Active Supervision Self-Audit (For Staff)Five reflection questions, including ‘Can I see/hear every child right now?’, ‘Are there blind spots in the room/playground?’ and ‘What is my “scan pattern” (every 30 seconds / 1 minute)?’
  • Attendance Accuracy ChecklistFive tick-box checks for the admin team: a recorded arrival time and departure time for every child, no blanks or “approximate” times, staff initials verifying daily review, and a consistent method for corrections.
  • The “2-Minute Walkthrough” ScriptPrompts a supervisor repeats 3–5 times a day under four headings — Safety, Supervision, Ratios + transitions, and Admin — such as “How many kids right now?” and “Who is the float if someone steps out?”
  • The “Red Flag Radar” BoardSix red flags to watch for today, including a new or relief staff member in a busy room, outdoor transitions, bathroom routines and late pick-ups, followed by examples of the one preventive move the supervisor writes down.

How to use it

Four steps to put it to work this week

  1. 1
Start with one toolPick the page that matches your biggest gap. The walkthrough script is the easiest to begin with because it takes two minutes and needs no paperwork.
  2. 2
Post it where it is usedThe document suggests a clipboard, whiteboard or digital note for the Red Flag Radar. Put the self-audit questions in each room at adult eye level.
  3. 3
Run the walkthrough at set timesChoose three to five points in the day — for example before outdoor play, at lunch and before pick-up — and ask the prompts in the same order each time.
  4. 4
Write one preventive move a dayAfter checking the red flags, note a single action, as in the document’s examples: “Assign float from 11:00–12:30” or “Pause classroom paperwork until rest time”.

Tips from operators

What centers that use this well do differently

Learned the hard way across 3,000 child care spaces — and from the directors and educators who join our Lunch & Learns and Learning Labs.

Add your own regulation numbers

The tools do not quote any licensing regulation. Write your jurisdiction’s ratio, supervision and attendance requirements beside the matching prompts so staff see the rule and the habit together.

Make the self-audit a habit, not a test

The questions are written in the first person for staff to ask themselves. Introduce them at a staff meeting and avoid using them as a disciplinary checklist.

Check attendance the same day

Missing departure times are much easier to fix at closing than a week later. Have the person who reviews the sheet initial it daily, as the checklist asks.

Do it digitally in ChildFriendly Pro

Kiosk sign-in with exact timestamps and provincial attendance exports

Parents check in with a PIN on the room tablet, staff see live ratios, and ChildFriendly Pro generates the monthly attendance record — including provincial subsidy formats — with no reconstruction.

  • Parent PIN kiosk with authorised-pickup photos
  • Live ratio board with amber warnings
  • Monthly attendance and subsidy exports per child

Is this a form I fill in?

Mostly not. It is a set of prompts and short checklists rather than a record sheet. Only the Attendance Accuracy Checklist has tick boxes, and the PDF is not fillable. It has no date, name or signature lines, so add those if you want to keep completed copies.

Does it cover my province’s or state’s regulations?

No. It names no specific regulation or jurisdiction. It describes daily habits — scanning, counting, checking attendance — that support compliance, and it should be used alongside your own licensing requirements.

Who is it for?

The self-audit is labelled ‘For Staff’, the attendance checklist is for the admin team, and the walkthrough script and Red Flag Radar are written for supervisors.

Can attendance be checked digitally instead?

Yes. The checklist is about paper sign-in records, but the same checks apply to any system. Child care software such as ChildFriendly Pro records arrival and departure times digitally, which makes blanks easier to spot.
