What’s inside

Twenty questions, the same for every candidate

  • Name and date linesAt the top of the first page, so each candidate’s sheet is identified and dated.
  • Experience and credentialsQuestions on child care experience, credentials, and knowledge of child care licensing and regulations.
  • Teamwork and fitHow coworkers and a current boss would describe them, the role they take in a team, strengths and areas for improvement.
  • Skills for the roleOrganizational skills and multitasking, technology skills and daycare software used, and how they would handle an upset parent.
  • Practical questionsAvailability and start date, where they see themselves in 5–10 years, and wage expectation.

How to use it

Four steps to put it to work this week

  1. 1
Print one copy per candidateWrite the candidate’s name and the date at the top before the interview starts.
  2. 2
Ask the questions in orderUsing the same questions in the same order for everyone is what makes the comparison fair.
  3. 3
Write notes during the interviewUse the lines under each question while the answer is fresh; do not reconstruct it afterwards.
  4. 4
Compare notes across candidatesLay the sheets side by side question by question, then check references — ask specifically about accuracy with money and how they handled a difficult parent.

Tips from operators

What centers that use this well do differently

Learned the hard way across 3,000 child care spaces — and from the directors and educators who join our Lunch & Learns and Learning Labs.

Give a 10-minute practical task

A short exercise — draft a polite fee-reminder email, or find an error in a sample invoice — tells you more than any question.

Test for confidentiality instincts

Front-desk staff see every family’s finances and custody notes. Listen for how carefully they talk about previous employers’ families.

Involve a lead educator

The administrator will work with your room leads daily. A second interviewer from the floor catches fit issues you will miss.

Read more FAQs
Do I need a criminal record check for office staff?

In most provinces and states, yes — anyone working in a licensed child care facility needs a criminal record / vulnerable sector check, whether or not they are in ratio. Check your local licensing regulation and build it into the offer letter.

What software experience should I look for?

Comfort with a child care management platform (or willingness to learn one quickly), spreadsheets, email and a payment system. If you use ChildFriendly Pro, the self-guided training gets a new administrator up to speed in a few days.

Should the office administrator be counted in ratio?

Generally no — they are not in the room. Some small centers cross-train the administrator as a backup; if you plan that, add the educator-qualification questions from the Room Educator Interview Questions template.

How many candidates should I interview?

Three to five is typical for a front-desk role. Shortlist from applications first, then use the same question sheet for everyone you interview.
