Tips from operators

What centers that use this well do differently

Learned the hard way across 3,000 child care spaces — and from the directors and educators who join our Lunch & Learns and Learning Labs.

Set a reminder, not a hope

Midday doses get missed in busy rooms. A timed alert on the room tablet is the single most effective fix.

Keep emergency meds visible and reachable

EpiPens and inhalers should be where the child is — with the outing bag, not locked in the office.

Audit the log monthly

A five-minute check for missing signatures each month is far better than finding them during an inspection.

Do I need a doctor’s note to give medication?

It depends on your jurisdiction and whether the medication is prescription or over-the-counter. Many regulations accept a parent’s written authorisation for prescription medication in its original labelled container; some require prescriber instructions for anything else. Check your licensing rules.

Can I give ‘as needed’ medication?

Usually yes, with clear written criteria from the family (or prescriber) for when it should be given. Record each dose with the reason.

What if a child refuses a dose?

Do not force it. Record the refusal on the log, notify the family the same day, and follow any instructions the family has given for that case.

How does this work digitally?

Child care platforms such as ChildFriendly Pro let families submit the authorisation from the app, remind staff when a dose is due, and capture the two-staff verification electronically. The paper form records the same authorisation and dose log by hand, with one staff signature per dose.
